Transport Operations

Use Transport when your school has the Transport module enabled. School admins set up the fleet and can review daily pickup and drop-off records; assigned drivers and conductors mark the route activity for their own active vehicle.

Before you begin

  • Ask your Super Admin to enable the Transport module for the school.
  • Create staff accounts for drivers and conductors and assign the Transport Staff role.
  • Confirm each student is in the correct school before assigning them to a vehicle.

Set up a vehicle

  1. Open Admin > Transport.
  2. Create a vehicle with its name, licence plate, capacity, status, driver, and conductor.
  3. Assign students to the vehicle. The app prevents assignments above the vehicle capacity.
  4. Keep only current vehicles active. A staff member can be assigned to only one active vehicle at a time, and cannot be both its driver and conductor.

Daily tracking

  1. Select the vehicle, date, and route type: pickup or drop-off.
  2. Review the student list and its current status.
  3. Use the tracking record to follow up on students who remain pending or need attention.

Assigned transport staff can update only their own active vehicle. School admins can view and update the tracking sheet for their school.

Retire rather than delete

If a vehicle already has transport history, retire it by changing its status instead of deleting it. This preserves the school’s daily tracking record.

Good operating habits

  • Recheck capacity after adding new riders.
  • Change driver or conductor assignments before the next route begins.
  • Review pending route entries on the same day, while staff can still confirm what happened.
  • Remove a student from the old vehicle before treating a route change as complete.
